An article marketing plan (e.g. Microsoft Word/Excel template) will help increase your traffic as it gives you a framework for writing your blog posts and scheduling your posts in advance. If you plan to blog for a living or want to earn money blogging part-time, then you need to spend some time creating super low-tech workflow that lets you write as efficiently as possible. That makes sense, right?

Why use an Article Marketing Schedule?

For example, if you run five different blogs, you will need system to keep on top of your writing and ensure that your blogs are updated on time. Otherwise, you may find that you work on one blog, then stop. Work on the next blog, and then stop to work on the next… This stop/start approach will undermine your efforts and remove all the good work you’ve put in.

Download your Article Marketing Schedule Template here.

How to Organize your Blog Writing Schedule

The simplest way to do this is use a simple Microsoft Word or Excel template. Then create columns for the

Article Title – enter the working title for your article. This may change as you revise the blog post.

Blog address – enter the address where you will post the article. This gives you a clearer picture of where you need to focus and the sites that need most attention.

Keywords – enter three to five keywords that you want to use in the Title, Meta tags and in the URL. One tip is to use variations of keywords rather than repeating the same word all the time.

Start Date – enter the date when you need to start writing the first draft.

End Date – enter the date when you complete the post and get it online. The more you use an Editorial Calendar for your blog, the more accurate you will be in estimating how long it takes to write multiple articles.

Status – enter Draft, Revise or Final depending on the status of the article. This is a nice way to see where you are with your overall blogging activities. It also gives you a snapshot of where there are gaps in your writing and the blogs that need more attention.

Download Article Marketing Schedule

To get you started, I’ve created this Article Marketing Schedule in Microsoft Word.

Download your Article Marketing Schedule Template here.

This template is Creative Commons and can be shared with your colleagues and fellow bloggers. There is no email required to download this file!

Takeaway: Create a Writing Workflow

The critical point is to develop a system that lets you focus more on writing and spend less time on other non-writing tasks. Creating a simple set of Microsoft Word/Excel files that simplify your workflow will make a huge difference in the long run.

My suggestion is to use this as a starting point for your blog writing and modify it where you need.

What do you think?

PS – if you want the Microsoft Excel version, drop me a line.

I avoided reading Tim Ferris’ blog, The 4-Hour Workweek: Escape 9-5 for the longest time. My mistake! If you want to learn how to save time and be more productive, this blog is gold-dust. It’s a cut above the rest as it backups up his philosophy with real case studies that demonstrate how his methods work.

For example, Bernard Sandoval developed a 5-page 4 Hour Work Week guide as required reading for his employees called “Being More Productive” that you can download below.

Studies show the average worker checks email 30 times per day

How to Crush your Inbox

Here’s a suggested approach to reduce the amount of time you spent/waste on emails.

Set a time each day to check your email and check voice mail

Studies show the average worker checks email 30 times per day.

Our goal is to let the email “batch” or collect and check 3 – 4 times a day.

Quit, close, or disable send/receive when working on important tasks.

Read client/agency related emails only and delete non-business related emails.

Unsubscribe from email lists that do not contribute to client work.

30 minutes should be sufficient to return all important emails and phone calls.

Lunch is a good time to conduct personal business and return non-business voice mails.

Personal emails, browsing, and calls are not permitted during business hours unless there is an emergency.

How to Control your Cell Phone and other distractions

In a nutshell: stop checking your email all day. Close your inbox so you can focus on other things, like finishing the report, article, diagram that you need to finish.

AND, the same applies to your cell phone, IM, twitter and whatever distracts you.

One CEO added: “I can now pull in 35% more work and not have to add staff. Think of what that could do nationally.”

Tim reckons that, “it’s a great starter kit for a few of the concepts in the book and it’s all presented in an easy-to-digest checklist that anyone can review each morning.”

FYI: You can share these downloads with friends and those you work with.

BBC Style Guide

This is not a “do and don’t” list but a guide that invites you to explore some of the complexities of modern English usage and to make your own decisions about what does and does not work.

It should improve your scripts and general writing, not to mention making you feel better informed, challenged and amused.

Bing provides great general search results, relevance, a big index and speed — all of the hallmarks of a good search engine.

However, because sorting through search results can often be time consuming, Bing organizes popular results in a different

Jakob Nielsen explains the different benefits that Short versus Long articles bring to your site, especially if you are running an online business. In his newsletter, he asks “should your website have concise or in-depth content?”

His conclusion is that:

a) If you want many readers, offer short content. This is ideal for advertising-driven sites or sites that sell impulse buys.

b) If your readers need a solution, offer comprehensive coverage. This is more suitable for solutions to complicated problems.

He recommends writing articles instead of blog postings as people who “really need something are the highest-value users because they’re more likely to turn into paying customers.”

Word 2007 is very different than Word 2003. One of the frustrations I have found is trying to find out how to do things in 2007 that I can do very quickly in 2003. Learning to customize the Quick Access toolbar is one way to make your life a little bit better!

The Quick Access toolbar puts frequently used commands at the top of the screen, so you can access them quickly. Makes sense!

The only problem is that when you start Word 2007, there are only three commands here: Save, Undo, and Redo.

You can add more commands to the Quick Access toolbar and customize it to suit your needs. Don’t add too many or it may impact the application’s performance.

To add a command to the Quick Access toolbar:

Click the downward-pointing arrow beside the toolbar.

Select from any of the commands that appear or click More Commands if you don’t see the one you would like to add.

Select a category from the box labeled “Choose commands from”. In the box below that, select a command. Click OK

The command you selected now appears on the Quick Access toolbar.

attention with useless images and vain content will get little
from the impatient and sceptical customer.

The public website or intranet that keeps screaming for attention with useless images and vain content will get little from the impatient and sceptical customer.

The needs of the organization are great, and the larger and older the organization gets, the greater those needs become. The problem is that the internal needs of the organization rarely match the needs of customers.

Organizations grow strong because they’ve done something right.

Dell is a good example. It grew as a customer centric
organization, but as it got bigger it began to lose that true
customer focus.

[ad#5links]

Around 2001, you had two options on the Dell homepage: navigate

by product (laptop, desktop, etc.) or navigate by audience
(home, business, etc.). Every test I have done indicates that
about 90% of people prefer to navigate by product in buying
computer stuff. In fact, audience navigation makes many people
cynical. “Do businesses gets better deals than me?;” I just want
to buy a laptop, why do I have to select what group I belong
to;” “I’m a home business. Which should I select?”

By about 2003, Dell had gotten rid of the product navigation,
forcing the customer to choose an audience. I am told Dell did
this because the audience types mirror the powerful business
units within Dell. These business units could not agree how to
share revenue if someone simply selected “Laptop”.

Dell was once young and customer-centric, but like nearly all
organizations, it grew old and organization-centric. It began to
suffer from organaritis. Similar to arthritis in humans,
organaritis afflicts mainly older organizations. A stiffening of
the joints makes it hard for the organization to change and move
quickly.

There are signs that Dell is trying to recover from organaritis.
Recently, I noticed that it is publishing reviews of its
products on its website. Yes, it allows negative reviews. That
to me is impressive and makes it more likely I will buy a Dell
again. (After what Lenovo has done to the ThinkPad, the choices
have become more limited.)

Does your organization have organaritis? If you answer yes to
one or more of the following questions you probably need to seek
medical help:

• Do you have pictures of very important people within your
organization (your needy children) on your webpages?

• Do these needy children require messages from them to be
published prominently on the site?

• Do you have big pictures of smiling actors pretending to be
customers? (Shiny, happy people.)

• Do you have needy departments whose stated objective in life
is to get some real estate on the homepage?

• Do you have needy, powerful managers who demand that their
latest programs and initiatives get prominence on the
homepage?

• Is your culture one that believes that the primary purpose of
the website is to get customers to do what you want them to do,
rather than help them quickly and easily do what they came to
do?

• Does your organization embrace verbosity atrocities?

Headings such as: “Start your way to a clear new world”.

Sentences such as: “We are delighted to announce that our holistic approach
embraces 50,000 ft thinking which is unparalleled in its reach
and depth of understanding of the globalization challenges that
must be embraced holistically if we are to thrive in
ever-changing, shifting, hazy, somewhat unclear, cloudy, and
sometimes downright quite difficult to see through clearly into
the must be embraced holistic future scenarios.”

We reviewed PerfectIt last month and were impressed with its ability to edit and test our documents.

Daniel Heuman, the founder of Intelligent Editing Ltd has prepared this tutorial that goes into more detail and show some of the ways you can get more out of this editing product. Here’s Daniel.

[ad]

PerfectIt does not require any kind of configuration. Once you install it, you can use it straight away to find mistakes in any MS Word document.

This article is for users who want to get even more out of PerfectIt by fine-tuning it to search for particular errors or to enforce a style guide.

Fine-tuning PerfectIt

You can set your rules for how PerfectIt checks:

Hyphenation

Common typos

Numbers in sentences

Spelling variations

Keywords left in the body of text

Use of capital letters

Punctuation of bullets and lists

Capitals in bullets and lists

There are two ways to build your rules into PerfectIt, you can add them organically when PerfectIt runs or you can use the configuration screen.

Common Errors in English Usage

Organic fine-tuning

The easiest way to add rules for checking is to teach PerfectIt your preferences as you use it. When PerfectIt finds an error, just click the “Customise Test” menu to either exclude that from future searches or build a rule for checking it.

For example, if PerfectIt states that an abbreviation appears in two forms: “NASA” and “N.A.S.A.”, you can use the menus to specify that “NASA” is always preferred. After that, PerfectIt will prompt for any instance of “N.A.S.A.” with any document you test.

Fine-tuning with the configuration screen

You can specify an even wider set of rules by using the configuration screen. To load the configuration screen, select “Advanced…” from the “Customise Test” menu. This will provide options for setting your own checking rules. For example, to specify that semi-colons are the preferred punctuation for short bullet points, choose “Settings for Lists, Numbers and Compounds”, then choose “Punctuate Short Items”, then select “A Semi-Colon” from the drop down menu. Save your changes and PerfectIt will notify you if it finds any bullet points with other types of punctuation.

The advantage of customised versions of PerfectIt

It is possible to share configurations between computers – just copy the files ‘CustomExclusionLists’ and ‘CustomFindLists’ from one computer to another. However, for organisations, the best way to ensure that rules are standardised across computers is to have Intelligent Editing prepare a customised version for you. Intelligent Editing will scan your library for inconsistencies and review those with you. Then we’ll build a version of PerfectIt that is custom-designed for your organisation. We’ll include all of your preferences and supply you with a version that is built for the specifics of your style guide.

Conclusion

Style guides are important documents that all too often go ignored. With PerfectIt, you can quickly and easily check that reports, articles, contracts and proposals are all aligned with your style guide. You can build in the checking that is most important to you and ensure that documents are reviewed completely for the mistakes that matter most. To try PerfectIt for free, download it now.

Lots of dumb mistakes can slip into even the best writing. Here we look specifically at reports and other technical documents to provide authors with a checklist they can use for their work.

1. Numbers that don’t add up

Just one table where the numbers don’t add up correctly is enough to shatter confidence in an entire report. Usually this happens when tables are updated manually.

The best thing to do is to keep all original tables in a spreadsheet and copy them in each time. You can make sure that colleagues are not tempted to make changes manually if you paste tables in as graphics.

2. Incorrect table and figure references

What does a reader think when he/she reads that “evidence is provided in Table 3″ but then is unable to find that table?

Tip: How to choose the Right Style Guide

Or what happens if the reader finds Table 3 but the evidence is completely unrelated because it should have referred to Table 4?

To make sure it doesn’t happen to you, use automatic cross-references.

3. Unsourced data

Numbers that appear from nowhere can be just as infuriating as numbers that do not add up. To present a credible argument, evidence needs a source. Insert footnotes as you write.

4. Leaving in details to be completed later

Have you ever come across a document that refers to a XX% increase? A sure-fire way of alerting your reader to careless checking is to leave in phrases like “more details to be added on this later”, or “note to self: check this is correct”.

A good way to avoid this is to agree a format for all comments within your company and for everyone to adopt the same one.

That way a search can pick these out. You can also use automatic tools to find these errors. PerfectIt contains a test that scans documents for any of these editorial comments that have been left in.

5. Blinding with science

Technical reports are often intended for a non-technical audience. Sometimes authors can get away with blinding the audience with technical language and complex theory.

More often, authors that try that will have to face a complete re-write. Technical explanations belong in an annex, keep the flow of your text simple.

6. False accuracy

The way that numbers are presented conveys important information about confidence in the result.

If the benefit to the US economy is $1billion, it means that it could be anywhere from $0.5bn to $1.5bn. If the benefit to the US economy is $1,050,023,178 then it means we are confident that the benefit is exactly $1,050,023,178. The degree of rounding should reflect the degree of confidence and the likely range implied.

7. Inconsistent writing

There are an incredible number of consistency errors that can creep into technical documents, especially if there is more than one author. A review of those can be found here. With careful checking and tools like PerfectIt, you can cut down on consistency errors and present your results in your corporate style

8. Over-reliance on spell check

Spell-check is a great tool. But it cannot spot every error. It’s easy to write the word “manage” without the second “a”. A Google search shows that there are thousands of documents that use the phrase “project manger”. Errors like these can be difficult to spot and can also be the most embarrassing when clients find them. PerfectIt includes a test for some of the most frequently found typos andcustomised versions of PerfectIt can be geared to specific industries to increase the power of automated checking.

9. Less is more

Technical reports are not paid for by the word. So long reports are not an advantage. They are difficult to read and harder to check. Sharp, concise reports that are accompanied by more detailed annexes and supporting evidence are better for making almost any case.

10. Acronyms / abbreviations that are not defined

TLAs help to keep your text short. However, if your readers do not know that ‘TLA’ stands for ‘three letter acronym’ then it’s important that you define the word in its first instance. Tools like PerfectIt can be used to scan your text for acronyms that are missing a definition as well as instances where the acronym is used long before the definition appears. A table of acronyms can also be helpful for the reader and PerfectIt can generate this automatically.

Since I added a site map to the site, traffic has went up. Not a huge amount, but there has been a difference. And I know that Google indexes it, so that has to be good. Don’t have one yourself? Try these. Most are v simple to install. Any questions, drop me a line.

What are sitemaps?

Here’s what the experts say:

“Sitemaps are an easy way for webmasters to inform search engines about pages on their sites that are available for crawling. In its simplest form, a Sitemap is an XML file that lists URLs for a site along with additional metadata about each URL (when it was last updated, how often it usually changes, and how important it is, relative to other URLs in the site) so that search engines can more intelligently crawl the site.

Web crawlers usually discover pages from links within the site and from other sites. Sitemaps supplement this data to allow crawlers that support Sitemaps to pick up all URLs in the Sitemap and learn about those URLs using the associated metadata. Using the Sitemap protocol does not guarantee that web pages are included in search engines, but provides hints for web crawlers to do a better job of crawling your site.

Sitemap 0.90 is offered under the terms of the Attribution-ShareAlike Creative Commons License and has wide adoption, including support from Google, Yahoo!, and Microsoft.”

What site maps plugin do I use on this

There wasn’t time for a requirements gathering session so I’m ‘guestimating’ what they want. Not an ideal situation but that’s how it is sometimes.

Some of the analysts wanted a ‘warts and all’ template that covered all possible scenarios.

I’ve done this and it’s now over 2 pages per process – and that’s before you type in a single word.

For most of the team this seems excessive. So, now I have a one-pager they can use just to capture the key steps involved.
We’re not finished by any means and I have another meeting on Friday.

One question in the back of my mind is: which of these will be the standard?

It can’t be both.

Can it?

Regards,

Elementool has released Test Case version 1.1, its newest Software-as-a-Service project management applications.

In real time systems such as banks, hospitals, and airplanes, releasing software that still contains bugs can cause severe damage to a company’s reputation, and to the people that rely on these software systems.

[ad]

Elementool’s Test Case 1.1 allows testing managers, who are responsible for ensuring that software is released to the public without any bugs, to customize the tool in order to best organize, control and oversee the testing process.

These updates give the Testing Manager great control over the tool and its functions, allowing them to focus on ensuring that each test case is completed in an efficient and timely manner and no bugs slip between the cracks.

New Features Include:

• File attachments: the ability to attach files to test cases allows for further clarification of instructions, functions and steps in the test case and individual tests.

• Remarks: a new remarks message board lets team members share information quickly and access results or questions from previous tests.

• Customizable test form: enables the administrator or test case manager to change and add fields to the test form, altering the form on for different projects or teams. Account administrators can now also clear the history in any field.

• Report customizations: users can now customize the test report and choose filters and report columns to obtain only the specific data needed at that moment.

• Sub groups: the option to create sub groups within individual tests adds further clarification to the process.

Using Test Case 1.1, project managers can assign test cases to team members, track test progress, activate email notifications to individual users regarding assignments, and generate test case reports.

[ad#5links]

Test Case 1.1 can be accessed from any computer via Web browser without downloading or installing any software.

Pricing and subscripting information is available at www.Elementool.com
