Guidelines for Writing Press Releases

The following guidelines can be used when writing a press release.

Heading
Put FOR IMMEDIATE RELEASE at the top of the press release unless there is an embargo, i.e. you don’t want the press release to be published until a later date.

Use CAPITAL LETTERS
One sentence title line. No verbal puns or wordplay.

For example: IBM AND EBAY FORGE ALLIANCE

Location and Date
Describe the central topic in the first paragraph.

For example: Chicago, Sept. 6: IBM and eBay Inc., the world’s online marketplace, announce marketing alliance.

Quote
Insert a quote from a company representative. Include their full name and job title.

“e-businesses increase transactions and link operations with other enterprises” said Samuel J. Palmisano, president and chief operating officer of IBM.

Main Details
Provide more detail on the subject matter. Three paragraphs maximum.

As part of the alliance, eBay will become a key auction site for IBM products…

Company Information
Close with boilerplate information about your company.

About
Describe your company in two to three sentences.

Company Name
Street Address 1
Street Address 2
City
County
Country

Contact: Name of marketing contact
Email:
Web:

End

Close the press release by including the following at the footer of the page or email.

Tips:

Spelling — Spell-check after finishing. Print out and check for grammar and syntax errors.

Remember it’s eBay not ebay or Ebay.

Email — When you do a mass email, use BCC not CC. Do NOT send attachments.

Filing — File a copy of the press release for future reference.
